Terms of Service

These Terms govern your use of MileBinder (the "Service"). By creating an account or using the Service you agree to these Terms. If you do not agree, do not use the Service.
1. What the Service does
MileBinder helps carriers prepare quarterly IFTA fuel-tax returns from mileage and fuel records you provide, and produces an audit-ready package. The Service does not file or transmit returns to any jurisdiction on your behalf. You remain responsible for reviewing every figure and for submitting your return to your base jurisdiction.
2. Not tax or legal advice
The Service is software, not a tax preparer, accountant, or law firm, and its output is not tax or legal advice. Rates and rules change; you are responsible for confirming your filing is correct for your situation. Consult a qualified professional where appropriate.
3. Your responsibilities
- Provide accurate, complete mileage and fuel data.
- Review all calculated figures before filing.
- Keep your own records as required by IFTA (generally four years).
- Maintain the security of your account credentials; one account per carrier.
4. Fees and payment
The Service is pay-per-filing. Your account's first filing is free. After that, a per-quarter service fee applies, priced per vehicle with a floor and a per-quarter cap as shown at checkout and in our pricing. Payments are processed by Stripe; by paying you also agree to Stripe's terms. Fees are for preparation of the return and are non-refundable once a filing package has been generated, except where required by law.
5. Accounts and eligibility
You must provide a valid USDOT number, which is verified at sign-up and is permanent for the account. You are responsible for all activity under your account.
6. Disclaimers and limitation of liability
The Service is provided "as is" without warranties of any kind. To the maximum extent permitted by law, MileBinder is not liable for indirect, incidental, or consequential damages, or for penalties, interest, or assessments arising from your filing; our aggregate liability will not exceed the fees you paid for the filing at issue.
7. Termination
You may stop using the Service at any time. We may suspend or terminate access for violation of these Terms. Records subject to retention obligations are preserved as described in our Privacy Policy.
8. Changes to these Terms
We may update these Terms; material changes will be reflected by the "Last updated" date above and, where appropriate, by notice. Continued use after an update constitutes acceptance.
