This Policy explains what MileBinder (the "Service") collects, why, and your choices. It applies to information handled through the Service.
1. Information we collect
- Account details: your name, email, password (stored hashed), and USDOT number.
- Carrier and filing data: vehicles, drivers, jurisdiction mileage, fuel purchases, trips, and the returns you prepare.
- Payment data: processed by Stripe. We do not store full card numbers; we keep a payment reference and status.
- Technical data: standard log and session information needed to run the Service.
2. How we use it
To operate the Service: verify your carrier identity, prepare your returns, process payment, provide support, secure the Service, and meet legal obligations. We do not sell your personal information.
3. Payment processing
Card payments are handled by Stripe under its own privacy terms. Card details are entered on Stripe's hosted checkout, not on our servers.
4. Data retention
Because IFTA generally requires records to be retained for four years, we keep your filing data and source documents for at least that period, measured from the return's due date or filing date. We may retain information longer where required by law.
5. Sharing
- FMCSA: your USDOT number is checked against the FMCSA database at sign-up.
- Stripe: to process payments.
- Service providers that host or support the Service, under confidentiality.
- Legal: where required by law or to protect rights and safety.
6. Security
We use reasonable technical and organizational measures to protect your data (including encryption in transit and hashed passwords). No system is perfectly secure; you are responsible for safeguarding your credentials.
7. Your choices
You may access and update your profile, and request deletion of your account. Note that records subject to the retention obligations above may be preserved even after account closure.
